Tasman, Inc. needed field documentation that could not fail. Their teams rely on mobile forms for safety readiness, inspections, and field data collection, often in conditions where paper breaks down and offline reliability matters. When the Process Cannot Fail

For Tasman, field documentation isn’t just administrative work. It’s operational infrastructure. It determines whether teams can start work safely and whether the company can stand behind what happened later.

John Walker, IT Manager for Tasman, Inc., described the standard in simple terms. “We have to be able to get our safety forms done before we do any work, so that we can tell everyone the risks that are involved and the controls that are in place to keep us safe.” That requirement starts before anyone even leaves the office. “Before we leave our office, we do a DVIR,” Walker said. “We fill out the truck odometer before and after, and note any issues. We do that before we even leave the office.”

And if that system isn’t available, the impact is immediate. “If we can’t access the platform, we have to fall back to PDFs and print a huge stack of forms for the whole team just so they can go do the job,” Walker said. “And if that happens, our cash flow stops, because we can’t go out and do our work without GoFormz.”

Because Tasman runs permits and approvals through the same motion, reliability also means follow-through. “We can’t have any part of GoFormz break,” Walker said. “We need to reliably get to our forms, fill them out, and have those workflows kick in when we submit.” And that’s why reliability isn’t a “nice to have” for Tasman. GoFormz has to be software they can trust every day in the field, because if it isn’t dependable, the work doesn’t move.

Tasman already had an impressive tech stack, including NetSuite for ERP, SharePoint and OneDrive for file storage, Smartsheet for tracking, and a data environment built on Azure Blob and Snowflake. None of that was falling short. The issue was upstream. Those systems are only as reliable as the field data feeding them.

Why the Old Workflow Couldn’t Scale

Before GoFormz became the standard, Tasman’s “digital” process was still fragmented. “Before GoFormz, we were using a previous provider and trying to make it work for a couple of forms. And then everything else was paper.”

Paper failed the way it always does in the field. “We work outside, so forms get blown away, soaked in the rain, and handed back with handwriting you can’t reliably read. And the reality is we’re collecting scientific data out there, data that can’t be wrong.” They needed records that would still hold up later, with numbers and sign-offs they could defend. “We have to be able to know that and always be able to read what we’re collecting at that time without having to rely on the person who was out in the field. If we can’t prove to the regulatory agencies what we did, we have even more issues.”

When the workflow broke down, the field felt it first. Crews would drive “30, 40, 50 miles” and show up without what they needed to complete the job, which meant stalled work and unbillable time. “They couldn’t do their job. That would waste time and materials that we can’t bill to a client. We were just losing revenue.”

Now it’s go out there and fill out this form, and we’ll handle the rest for you.”

Hot Work Permits: Approvals That Don’t Stall

One workflow runs daily. A field employee completes the hot work permit, selects the supervisor, and submits. Then, GoFormz “turns this form into a public form,” emails the supervisor a link, captures the approval, saves the signed permit to the right location, and notifies the submitter with the signed attachment.

The practical impact is simple. Supervisors don’t need to chase paperwork or log into yet another system to keep work moving. The workflow moves on its own, and safety sign-offs happen before hazardous work begins.

NetSuite Integration: Less Manual Entry, Fewer Errors

As Tasman’s systems matured, GoFormz became a force multiplier, especially once they started leaning into NetSuite. “NetSuite is our ERP system, and it’s a major platform for us,” Walker said. “Leaning on the NetSuite integration has been a big help. It saves us time and reduces human error.”

That momentum accelerated once Tasman saw the integration working in a real workflow. Adoption Without Disruption

Walker’s biggest rollout concern wasn’t whether the field teams would adopt GoFormz. It was the coordination that comes with change at scale. “Honestly, the hardest part was just getting people to read my emails,” he said, even when he marked them as high priority and asked teams to review them.

Once users were in the app, adoption moved quickly because the experience felt familiar. The previous form provider was more “build it as you go,” but GoFormz let Tasman take “the actual forms that they’re used to doing on paper” and deliver them in the same structure crews already recognized. "They took to it immediately. There wasn’t really a big training issue because the workflow was intuitive. You open the app, you log in, you go to Forms, and you create a new form.”

Tasman rolled GoFormz out in phases, one workflow at a time. As soon as a form was rebuilt in GoFormz, the standard was clear. “Once we got their form in GoFormz, we let them know to stop using the previous form solution and start using GoFormz.”

The Shift: A Workflow the Organization Can Depend On

GoFormz didn’t just help Tasman move faster. It changed how they can trust the record. In regulated work, documentation has to stand on its own. “You have to be very confident and very sure of what you’re submitting to these regulatory agencies because audits have to come back clean.”
